Automated Subscription Notifications

Automated Subscription Notifications

Managing tenant subscriptions can quickly become overwhelming without automation. With Automated Subscription Notifications, Booknetic SaaS makes it effortless to keep tenants informed at every stage of their subscription journey.

By using the powerful Workflows Module, you can trigger notifications automatically when important subscription-related events occur — from sign-ups to payments, renewals, and cancellations.

How It Works

Subscription notifications are powered by the Workflow system in Booknetic SaaS. Administrators can create workflows tied to tenant lifecycle events, then define automated actions like sending emails, SMS, or even webhooks.

Available Events

In the SaaS version of Booknetic, the following subscription-related events can trigger notifications:

  • New tenant signed up – When a tenant first registers on the platform.

  • Tenant sign-up completed – When tenant registration is finalized (account fully active).

  • Tenant forgot password – Password reset request notification.

  • Tenant password was reset – Confirmation when a tenant successfully resets their password.

  • Tenant subscribed to a plan – Triggered whenever a tenant upgrades or activates a subscription plan.

  • Tenant unsubscribed from a plan – Triggered when a tenant cancels a plan.

  • Tenant deleted – Notifies when an account is removed from the platform.

  • Tenant payment received – Fires whenever a payment for a subscription is completed.

  • Tenant notified to subscribe to a plan – Useful for sending reminders to free users or expired tenants to upgrade.

Actions You Can Automate

For each event, workflows can send:

  • Email notifications – Send subscription confirmations, renewal reminders, or payment receipts.

  • SMS / WhatsApp / Telegram messages – Notify tenants quickly through their preferred channels.

  • Webhooks – Push subscription events into external systems (e.g., CRM, Slack, billing tools, Zapier, IFTTT).

  • Custom workflows – Combine subscription events with additional automation, like updating records or notifying admins.

Benefits of Automated Subscription Notifications

  • Improved Tenant Engagement Welcome tenants right after sign-up, guide them through setup, and encourage plan upgrades.

  • Payment Transparency Keep tenants informed of successful payments, failed transactions, or renewal dates.

  • Reduced Churn Automatically remind tenants when their subscription is about to expire or when they need to resubscribe.

  • Admin Oversight SaaS owners can also configure notifications for internal use, such as alerting the admin team whenever a high-value tenant upgrades or cancels.

Example Use Cases

  • Welcome Campaign – Workflow: New tenant signed up → Send Email → Welcome message with setup instructions.

  • Upgrade Confirmation – Workflow: Tenant subscribed to a plan → Send Email → Confirmation with invoice attached.

  • Payment Receipt – Workflow: Tenant payment received → Send Email + Webhook → Email the receipt to the tenant and notify accounting in Slack.

  • Churn Prevention – Workflow: Tenant unsubscribed from a plan → Send Email → “We’re sorry to see you go” with an optional reactivation offer.

  • Trial Expiry Reminder – Workflow: Tenant notified to subscribe to a plan → Send Email → Encourage free trial users to upgrade before expiry.

Why It Matters

Subscription-based SaaS lives and dies on communication and retention. By automating subscription notifications, Booknetic SaaS ensures tenants always know where they stand, while admins save countless hours on manual messaging.

Automated Subscription Notifications mean fewer missed payments, fewer cancellations, and a smoother experience for everyone.
